Meet the Board

Dedicated. Enthusiastic. Passionate.

Our all-volunteer board is made up of dedicated members from our school community who play unique and important roles in supporting our amazing staff and students. 

Below our current board is a description of each PTA board position and committee chairs. If you have any questions, feel free to check out our FAQ's on the website or send an email to memorialelementaryschoolpta@gmail.com.

PTA Board & Committee Descriptions

Executive Position:

 

President

Busiest Times of Year:  On-going

  • Manage overall objectives and strategies of PTA

  • Act as liaison between parents and principal / staff

  • Recruit PTA Committee Chairs

  • Create agenda and facilitate monthly PTA board meetings

  • Create agenda and facilitate 3-4 PTA general meetings

  • Create school calendar and budget with Principal and Treasurer

  • Speak at/Lead PTA sponsored events

  • Attend (or designate someone else to attend) PTA Council meetings, a consortium of the PTA Presidents from all NBISD schools that meet in the District Office.  

 

Vice President

Busiest Times of Year:  On-going

  • Assist the President and chairs in their roles and duties.

  • Lead meetings/events in the President’s absence. 

  • Work closely with the Fundraising chair to assist with key fundraising events.

  • Monitor success of fundraisers and recommend changes to fundraising strategies.

 

Secretary

Busiest Times of Year: Following each PTA meeting

  • Take minutes at PTA meetings, then forward to the president and Minutes Review Committee.

  • Make copies of the minutes for the next PTA meeting so they can be approved by the membership.

  • Issue notifications to Board Members as is required and outlined in the bylaws. 

 

Treasurer

Busiest Times of Year: Beginning of the year due to a learning curve; some late Spring/Summer work getting the budget ready for Fall with the president.

  • Prepare the annual tax return. 

  • Generate and maintain the PTA budget.

  • Inform committees of budgeted funds. 

  • Pay bills and reimbursements as required. 

  • Oversee ongoing PTA finances ensure adherence to the approved PTA budget. 

  • Prepare and present a budget report for each PTA board and general meeting.

 

Parliamentarian

Busiest Times of Year: On-going

  • Attend all PTA general and board meetings to ensure all present at meetings act within Bylaws, and within some approximation of parliamentary procedure. 

  • Chair the Bylaws Committee and review bylaws and standing rules annually. 

  • Submit bylaws to the President at the end to review for the following year. Formal adoption of new bylaws is completed every other year

  • Manage/oversee the Nominating Committee Process. After the Parliamentarian forms the committee, s/he remains available to assist them at their request. However, the Parliamentarian meets with the committee only if she has been elected to the committee.

Committees:

Historian (Yearbook)

Busiest Times of Year: Early meeting with the yearbook vendor to set-up each year.  Time required at yearbook release to prepare for and oversee distribution.  The yearbook can be assembled as the year progresses.

  • Work with a committee of volunteers in taking pictures throughout the school year of different activities and events.

  • Request photo submissions from families and publicize the methods for submitting pictures, including online and smartphone apps. 

  • Work with the school to finalize a list of authorized image release forms. 

  • Work with the Yearbook vendor to create final yearbook pages. 

  • Facilitate the labeling and distribution of all ordered yearbooks.

 

Fundraising 

Busiest Times of Year: On-going

  • Organize key fundraising events with the assistance of the Vice President.

  • Plan/organize spirit wear sales and work with a vendor to place the order. Track sales, fill orders and facilitate the delivery of items to students. (Aug-Sept)

  • Look for new fundraising opportunities.

  • Contact local businesses/restaurants to schedule Spirit Nights.

  • Monitor success of fundraisers and recommend changes.

  • Collect and organize the submission of Box Tops. 

  • Work with the Communications chair to ensure advertising of events.

  • Manage AmazonSmile account, report earnings to the Treasurer. 

 

PTA Membership

Busiest Times of Year: Start of school year

  • Review and plan membership drives according to the Membership Awards deadlines posted on TxPTA.org

  • Develop articles for each membership drive.

  • Collect, count, and deposit money with the treasurer. 

  • Generate a monthly report of new members to be submitted to TexasPTA.

  • Develop notices to list and thank all paid members.

 

Volunteers

Busiest Times of Year: On-going, as needed.

  • Create Sign Up Genius or email sign-ups for volunteers, as needed.

  • Help volunteers become familiar with the school policies, people, programs, and the building itself

  • Communicate with the teachers and staff to determine needs

  • Communicate with volunteers to determine areas of interests and abilities in order to match volunteers with teachers/staff 

  • Coordinate with the office staff to verify volunteers have completed the district required background check. 

  • Coordinate with the campus librarian to recruit volunteers for set-up and tear-down, staffing, and other needs for the Book Fair(s).

 

Hospitality

Busiest Times of Year: On-going

  • Recruit a committee to assist with planning and running events. 

  • Host/Plan staff appreciation events during the school year. 

  • Work with Volunteer Chair to create Sign-up Genius forms to collect donations for events.

  • Organize Veterans Day breakfast/reception (November) 

  • Plan Staff Appreciation Week events (May)

  • Change the sign in front of the school to reflect events for the week. 

  • Update the fliers hanging on bulletin boards at the school entrance.

  • Work with the Communications chair to ensure advertising of events.

 

Communications

Busiest Times of Year:  On-going

  • Publicize school events through email, Facebook, Class Dojo, etc. 

  • Obtain information from committee chairs and board members to bring the community up to date on current events and opportunities.

  • Publish special events and awareness communications as needed.

  • Ensure Facebook remains updated and edit PTA publications as needed.

  • Send communications on behalf of the board. (Newsletters/Fliers)

  • Contact members of the community to schedule speakers for PIT Stop meetings/presentations.

 

PTA Reflections

Busiest Times of Year: October-November

  • Communicate theme for the year with the campus art teacher and form a plan to promote/share with students and staff. 

  • Collect and organize art submissions

  • Organize voting and complete necessary forms

  • Communicate with families advancing to district level

  • Create certificates for campus participants

 

Healthy Lifestyles & Environment 

Busiest Times of Year: On-going

  • Assist with school garden activities

  • Ensure families have access to materials and resources for Healthy Lifestyles Month in November (Resources available from Texas PTA) 

  • Promote participation in America Recycles Day, Earth Day, Texas/National Arbor Day.

  • Work with community organizations that promote environmental priorities

  • Encourage campus participation in activities that promote “reduce-reuse-recycle” practices on campus.

 

DUDES (Dedicated Unicorn Dads Engaging Students) 

Busiest Times of Year: Beginning and as you have scheduled

  • Communicate with parents about the program

  • Organize events and activities for participants

  • Possible engagement ideas: Open doors at morning drop off, attend recess & play games with students, visit with students at lunch, read to a group of students on Family Literacy Day.

The PTA board meets the first Monday of each month at 6pm at Memorial Elementary.
